How to archive E-Mail (Student)
I am a student, how can I archive my Bryan email?If you would like to use Outlook Express on your personal computer to archive your email, refer above and follow the instructions on “How to Setup Outlook Express to Access Your Bryan Mail.” During that setup process choose the “POP3” option as this is the easiest way to automatically download your email from the Bryan servers and store it on your local machine.
If you would like to archive your email to a folder using a BryanNet computer, to be placed on a flash drive, CD-R, or other media, you can do so from any of the computer lab computers by following the instructions below.
- Log on to a BryanNet computer with your username and password
- Open up Microsoft Outlook (not the shortcut to BryanNet Webmail) If there isn’t a shortcut to Microsoft Outlook on the desktop go to Start>All Programs>Microsoft Office>Microsoft Office Outlook
- When prompted to choose a profile, select “default” and click “ok”
- At the "Outlook 2003 Startup" welcome screen Click “Next”
- At the "E-mail Accounts" screen Choose “yes” then click “Next”
- Choose “Microsoft Exchange Server” Click “Next”
- In the “Microsoft Exchange Server” field type “bcmail2003,” uncheck the “Use cached exchange mode” option.
- Type your username in the field marked “Username” and click “Next”
- Click “Finish.” Outlook is now configured to work with your email.
- If you receive a prompt about macros from Adobe or Avery you can check the box marked “always trust macros…” and then click “ok”
- After Outlook comes up you will see all of your email. You can now select the messages you would like to archive and drag and drop them to your folder (and/or flash drive) of choice. Note: you cannot drag the messages directly to a CD-R; they must first be put in a folder then transferred to CD-R.
- In your "My Documents" (or in your flash drive) make a new folder to save your email to and call it something like "Email Archive" or "My Email" to help keep your folders organized
- Use the “Ctrl” and/or “Shift” buttons on your keyboard to assist you with selecting multiple messages to move at once.
- If you drag the messages from your email box in Outlook to a folder using the right mouse button instead of the left, you will get an option to “Move” or “Copy” the messages when you release the mouse button. If you choose “Move,” the messages will be removed from your email box as they are transferred to the folder, if you choose “Copy,” the messages will be copied to the folder and also remain in your email box.
To burn files from your BryanNet account, you will need to bring a blank CD-R to the Helpdesk office (Mercer Hall Room 119) and use one of the Helpdesk computers that are connected to BryanNet and have a CD burner.
