Orientation for New Faculty and Staff
"Brand Names"
- Information Technology Services is part of Operations at Bryan College and is henceforth referred to as "I.T. Services."
- The primary point of contact for I.T. Services is the I.T. Services Helpdesk (henceforth "I.T. Helpdesk") which you may reach by calling extension 333 or sending email to helpdesk@bryan.edu. If neither of these services are functioning or you wish to visit in person, The I.T. Services Helpdesk is at the north end of the 1st floor of Mercer Hall (Room 119).
- The main network (containing user files, email, etc.) at Bryan College is henceforth referred to as "BryanNet"
- The internet-only wired and wireless network at Bryan College is known as "BCInternet."
- The Bryan College website is http://www.bryan.edu. Everyone’s browser homepage is set to www.bryan.edu because this is a communication tool. The Calendar of Events, Bryan News, and occasionally a message banner exist on bryan.edu. The message banner may be activated to communicate when a known problem exists that may affect many users. For example: if we are aware of a problem with the email system, we will announce it with a message banner on www.bryan.edu . If you are experiencing network or email trouble that you suspect isn’t localized to you, please check www.bryan.edu to see if your problem is already being addressed.
Frequently Asked Questions
An ever-growing "Frequently Asked Questions" (FAQ) section is also available online. When you launch MS Internet Explorer, it will open to www.bryan.edu. Type in http://www.bryan.edu/faq or do a search for Frequently Asked Questions. You may find it helpful to browse through the FAQ to help familiarize yourself with BryanNet. Please contact the Helpdesk if anything is unclear or if you have a question that is not answered by the site. Help us improve it!
Acceptable Use Policy

Voicemail
To set up your voicemail, dial "575." Your default voicemail passcode is 27926 (“bryan”). The voicemail system will guide you through changing your passcode and recording your name and greeting.
Your voicemail must now be activated. Dial "*3 575" (star three five seven five) to configure your voicemail to pick up after three rings. A loud steady tone means the command was completed successfully (just hang up). Once your voicemail is activated, you may disable it by dialing “#3” (pound three).
If you forget your passcode or become locked out of your voicemail, contact the I.T. Helpdesk to have it reset to "bryan." For more detailed instructions and a list of voicemail shortcuts visit www.bryan.edu/voicemail.
Note: Some phones have bad Touch-Tone generators that the voicemail system will interpret as a number other than the one you dialed. If you are experiencing problems with dialing or with your voicemail passcode, try swapping phones with your neighbor to see if it makes a difference. Also, cordless phones may not ring right away if they are searching for a good channel or are experiencing interference from a nearby phone in the same frequency spectrum. 2.4GHz phones are not recommended because of the potential for interference with wireless BCInternet.
Logging On
To log on to Windows XP, press "Ctrl-Alt-Del" (three keys simultaneously) when prompted. Be sure your username is in the "User name" field. If a member of I.T. Services has been working on your computer, we will logon with a different username. Enter your password and make sure "Log on to:" is set to "BCNET" before clicking "OK."
Your BryanNet Account
Your account username, which can be found on your ID card, is created from the first letter of your first name, followed by the first 8 digits of your last name (or your complete last name, which ever is shortest), plus the last four digits of your eCAMS Faculty ID. Your password is case-sensitive (check CAPS LOCK if it is not being accepted).
Email
BryanNet email for faculty and staff is accessed on-campus through Microsoft Outlook and is automatically configured when you logon. You have more than one email address attributed to your Bryan Net account.
- The first email address is made from your username
example: username1234@bryan.edu.
- The second email address is a friendly alias made from your name example: firstname.lastname@bryan.edu
Emails sent to either address arrive in the same place, your Bryan Net email inbox.
Your mailbox has a quota limit. As you approach this limit, you will receive automatic warning messages. Once you reach the limit, you will be unable to receive any email until you reduce the size of your mailbox. Email messages in your "Sent Items" and "Deleted Items" still count against your quota. To remove a message from your quota liability, you must delete it then empty your "Deleted Items" folder. See the FAQ on www.bryan.edu for assistance.
Off-campus webmail access is provided at http://mail.bryan.edu. Logon instructions are provided at the logon page.
Saving Files
All important and work-related documents should be saved in "My Documents." This storage space is located on our main servers (also accessible as the P:\ drive on your computer) that we backup nightly to help prevent data loss. If your hard drive crashes or you get a new computer (or upgraded operating system), the files in "My Documents" will still be there just as you left them. Keep in mind "My Documents" has a storage quota limit.
Any non-essential documents may be saved to "User Storage" (D:\ drive on your computer) which has no quota limit (except for the capacity of the hard drive). Keep in mind "User Storage" is not backed up by I.T. Services and should not be used for anything you would rue to lose.
Other File Locations
The "Public Folder" (R:\ drive on your computer) is a network storage place that should be considered volatile. It is not backed up by I.T. Services and since it is public, any BryanNet computer has the ability to modify or delete its contents. It is provided as a way for more than one user to access the same file from more than one computer. The public folder automatically deletes any file it contains if that file is not accessed for 42 days, so do not store important original files in the public folder, it is only meant for temporary copies. The faculty, staff, and student directories under "Public Folder" contain folders for each faculty, staff, and student (respectively) who wish to have a folder. Faculty and Staff can access and modify all of the stated folders, but Students can only access the Student folder.
File Mobility
If you would like to transport your files to another computer, besides using the Public Folder, there are various methods available:
- a USB Flash Drive
- a CD-R
- Your folder in the "Public Folder"
Each method has its own advantages and disadvantages.
Note: If your office computer doesn’t have a CD burner, you can come to the Helpdesk Lab (Mercer Hall 119) and log into one of the Faculty/Staff workstations (with your username) and burn files from your "My Documents" to a CD-R.
Your Role in Network Security
When you are away from your office during the day, please "Lock" your workstation or "Log off."
- To Lock your workstation, press "Ctrl-Alt-Del" (three keys simultaneously) and choose "Lock Computer." When you return to your office, press "Ctrl-Alt-Del" again and enter your password.
- To Log Out, press "Ctrl-Alt-Del" and choose "Log off"
At the end of the day, everyone must Log off or Restart so backups can proceed. If you are logged on with files open or have locked your computer, your files cannot be backed up and they may become corrupted.
Note: The only time when a workstation should be shut down is when the college is closed for an extended break. In that case, an email will be sent out requesting that you shut down your workstation. Otherwise, please just log off. You may reboot your computer if you feel it necessary.
Server Updates
The servers and workstations are updated every Friday from 5:00pm – 6:00pm. Before leaving for the end of the day, everyone must Log off. Updates cannot take effect on a workstation if a user account is left logged on.
Privacy
[excerpt from the Acceptable Use Policy]:
“Despite reasonable attempts to maintain the security and privacy of the user's electronic information, Bryan College cannot guarantee that electronic information is private. Due to the characteristics of operating and maintaining a network, system administrators retain the right to examine electronic information including e-mail and files as needed to investigate violations of acceptable use policies, measure system use, and perform necessary maintenance procedures. Sensitive or confidential information should not be stored on the networks or transmitted by e-mail, downloads or uploads.”
Software and Hardware
All software and hardware on BryanNet must be purchased through I.T. Services with Bryan College funds. No personal or outside software or hardware may be installed. All new software must be tested by I.T. Services prior to installation on a faculty or staff workstation. Only members of I.T. Services are authorized to install software or hardware. See the Acceptable Use Policy for more information.
Audio-Visual Requests
If you need to reserve the use of audio or video equipment, or need such equipment set up for a Bryan College related event, please contact the I.T. Helpdesk.
Bryan Website
Each section of the Bryan College website is maintained by the respective department. You can find out from your supervisor what role, if any, you have in it’s maintenance. If you have responsibilities to maintain a part of the website, you can contact the Helpdesk with any related questions you may have.

- Stand alone DVD-R or +R and VHS recording (RCA a/v input, none copy protected DVDs or VHS tapes, and cable TV)
- Color Printing and Copying ($0.40/page)

- 35mm slide scanning
- 35mm Negative Scanning
- Picture/Document Scanners
- Multi Function Memory Card reader
Note: You must provide your own blank media for any CD, DVD, or VHS recording. IT Services can assist you in the use of the resources but is not responsible in any way for the final product that you are trying to create.
