Administrative Assistant, Vogel School of Engineering

Department:  Vogel School of Engineering
Location:  Dayton, Tennessee
Supervisor:  Dean, Vogel School of Engineering
Compensation:  hourly with benefits

SUMMARY

The administrative assistant will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office and will be a point of reference for faculty and staff of the Vogel School of Engineering.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Support the office of the dean and provide administrative support for the departments of Vogel School of Engineering.
  • Communicate electronically and orally the policies and procedures of the Vogel School of Engineering administrative offices
  • Build and maintain a filing system that maintains confidentiality of faculty/staff/student information.
  • Work with multiple software programs including MS Excel, PowerPoint, Word and their Google equivalents
  • Act as the primary contact person for the Vogel School of Engineering administrative offices
  • Maintain databases for Vogel School of Engineering
    • Equipment
    • Student service hours
    • Course information
    • Prospective students
  • Set up files for new students and maintain files.
  • Add Bryan College announcements/important dates to the Vogel School of Engineering shared calendar using Google Calendar app
  • Maintain office supplies for the administrative offices.
  • Gather information for purchases to be made by the department.
  • Submit purchase orders as requested to complete purchases.
  • Submit receipts and account numbers for credit card reconciliation. Receive approval from Dean and submit to office of the Provost.
  • Organize and help manage key events—guest speakers, advisory board meetings, donor visits, Vogel School of Engineering faculty meetings, etc
  • Organize meetings with and maintain relationships with industrial leaders especially those on the advisory board.
  • Take and maintain minutes for advisory board meetings and other administrative meetings.
  • Liaise between multiple departments on campus to achieve goals of the Vogel School of Engineering as well as those of the college as a whole.
  • Willingness and ability to communicate with students about both academic and personal issues as necessary.
  • Other duties as assigned.
EDUCATION and/or EXPERIENCE
  • Bachelor’s degree preferred or extensive experience in an academic environment.
  • Excellent computer/software knowledge/skills
  • Ability to organize complex events.
  • Must be willing to maintain confidentiality of records and communication.
  • Excellent communication skills.
  • Excellent organization skills.
